HOW WE WORK

We embed, we build with your staff and data, we stay

Most vendors sell you software and hope it fits your process. Most consultancies sell you hours and leave a document. We do things different: we deploy our engineers into your operation, automate the work your team does by hand and leave behind systems that keep running, with us still on them.

Book a 20-minute call

Four beats, then it starts again

We often start with AI Document Processing, where the pain is clearest and results come fastest. Then we take what works and move to the next challenge.

1

Embed

Real documents, real process

We work inside the process you already run: your inbox, your file drop, your Excel sheet. Before we quote, we ask for 5-10 of your real documents. What we learn in the first week is your edge cases, not our assumptions.

2

Automate

Retrieve, extract, validate, deliver

We pull the document from wherever it lands, then the models read it: scans, PDFs, spreadsheets, whatever your senders actually use. Structured extraction, validation against your booking rules, enrichment against your entity mappings, plus the queueing and retry logic that keeps it upright at volume.

3

Integrate

Into your systems

Structured output where you actually need it: An external API, your data warehouse, your portfolio platform, your reporting stack

4

Operate

Monitoring, exceptions, the next process

Go-live is the start of our involvement, not the end. We monitor for drift, work the exception queue and absorb new document types as they turn up. When the next process appears, the loop starts again without a new vendor cycle.

After Operate, the loop returns to Embed to expand within the account.

What forward deployed engineering means here

The term gets used loosely. Here is what it commits us to. Hold us to it.

Deploy into the workflow, not next to it
We work in your actual process: your inbox, your file drop, your Excel sheet. Not a sandbox demo
Build against real artefacts on day one
We ask for 5-10 real documents before we quote, not after
Ship working software, not recommendations
Every phase ends in something that runs, with measured accuracy, not a slide
Own the last mile
Classification, field mapping, edge cases, error handling, the integration. The 80% everyone else calls an implementation detail
Stay after go-live
Monitoring, drift handling, new document and process types as they appear

A dedicated team, not a rotating bench

You get a dedicated team that learns your processes and reporting requirements. The same engineers are on it next quarter, the ones who already know why your Q3 statements look the way they do. No key person risk on your side.

What we build

We can build from a simple Excel plugin to a fully fledged web application, that integrates with your existing software stack. The engagement usually starts at the document extraction layer and the rest of the stack comes with it: the orchestration that keeps it running at volume, the integrations that land the output in your systems, the human review and enrichment and the agentic reconciliation that checks every number against your systems of record.

1 · Document and data extraction

Classify, extract, enrich, deliver, across multiple document families. Alternative investments: capital calls, distribution notices, investor statements, valuation reports. Legal: entity recognition from trust deeds and constitutions, the names, parties and roles that feed your entity master. Accounting: trial balances, income statements, balance sheets.

2 · Workflow orchestration

Extraction is only useful if it runs every day without someone babysitting it. We build the machinery around it: documents queue as they arrive, work retries itself when an upstream system has a bad minute, and every document has a status you can check from arrival to delivery. Nothing gets lost and nothing gets booked twice.

3 · System integration

The last mile: structured data landed in your portfolio platform, warehouse or accounting system, in the format it expects, not a CSV someone still has to upload. This is where most automation projects stall at 90% done. We own it.

4 · Agentic verification, human review

Nothing hits 100%. A vendor who tells you otherwise is describing a demo. So we build for it: the AI does the extraction, agentic checks verify the numbers against the document and your rules, and anything the system is not confident about is routed to a person. Your team reviews the exceptions, not every document.

5 · Agentic back-office operations

Beyond reading documents: agents that work a whole process. Reconciling positions against a document, chasing a discrepancy across two systems, preparing the entries and the audit trail, with a person approving anything that moves money or books a number. Once extraction, orchestration and verification are in place, this is the step that compounds.

The pilot

The pilot is there to give you confidence before you commit: one process, built against your own documents, with working results in front of your team in weeks. The decision to go further rests on proof of value you have verified yourselves.

5-10 real documents

Yours, redacted if needed, not a curated sample set. Real paperwork is where the edge cases live, and the edge cases are what a pilot is for.

One process, 1-2 weeks

One document type, one process, end to end. We agree the fields with your team at kickoff, build against your documents and walk through the results together.

Proof of value

You end with working software running on your own documents and results your team can check line by line. Enough to sign off with confidence, and a clear picture of what production looks like.

When the pilot proves out, we scope the next step together: production volumes, integration into your systems, a longer engagement. And if it does not, you have learned that in a couple of weeks on a small commitment, not quarters into a contract.
